E-Mail Communication

In order for emails to be sent under your domain by the DeDeNet systems, it is necessary to set an SPF record with your DNS provider.
Include our entry spf.dedenet.de in your SPF record using the Include directive.
If you use Microsoft 365, this could look as follows:
v=spf1 include:spf.protection.outlook.com include:spf.dedenet.de -all

Time Server

For the Data Transfer between DeDeSales Server and DeDeSales Client, it is necessary that both sides use the same system time. The synchronisation occurs automatically on Android and iOS Devices.

On Windows Devices, however, the behaviour is such that they want to synchronise with the Active Directory Server by default. If the field staff member is not in the VPN or office for a longer time, the synchronisation fails and eventually no Data Transfer is possible due to a too large time difference.

Add in your GPO under

System > Windows Time Service

at least one public time server that your field staff can reach at any time.

Data Encryption

The encryption of data at the database level takes place automatically in the data centre of DeDeNet GmbH.
The communication between the DeDeSales Server and the DeDeSales Client is encrypted.
For the encryption of data on the Microsoft Windows Client, you must take appropriate measures, such as installing/enabling disk encryption.
To secure data on an iPad, the standard functions should be used (PIN entry for login). The data on the iPad is automatically encrypted by the operating system.

Data Volume

The communication between the DeDeSales Client and the server requires corresponding data volume. We generally recommend using a flat-rate tariff for tablets to operate a tablet in the public mobile communication network. Below you will find an overview of what consumes the data volume:

Type Volume
Operating system updates Not determinable by DeDeNet
E-mails Not determinable by DeDeNet
Other applications such as VPN, browser, YouTube, ... Not determinable by DeDeNet
DeDeSales / Product pictures Not determinable by DeDeNet
DeDeSales / Agent files Not determinable by DeDeNet
DeDeSales / Customer files Not determinable by DeDeNet
DeDeSales / Photos taken during the visit by the Sales rep. Not determinable by DeDeNet
DeDeSales updates 100-250 MB per update
DeDeSales / Transmission of an ORDER with 100 items 9 KB per ORDER
DeDeSales / Average retrieval of master data for 33,000 customers and 2,000 items (including prices, Delivery Addresses, … ) 60 MB per day

As you can see, the data volume strongly depends on your data provision and the working method of the field service. Additionally, consumption arises from the simple use of the tablet. This accounts for the largest share compared to the estimated sizes of ORDER transmission and data updating.

Experiences from various customers have shown that the following framework parameters are sensible:

  1. Flat-rate tariff
  2. High-speed volume: 2 GB per month

Product pictures

The following image formats are supported: PNG, JPG, BMP, TIF, GIF
Only the RGB colour space is supported for images (not CMYK).

File validation: We check uploaded files for their actual format and no longer just for the extension (e.g. .png). This ensures greater security and prevents errors when processing pictures.

Resolution:
The images should have a maximum width and height of 1,500 pixels. The images do not have to be square but each side should not exceed the maximum pixel count of 1,500 pixels.

Separators:

The file name can be divided into sections using the following characters:

The above characters do not function as separators if they are already contained in the fields Item number, EAN, Single EAN or EAN on packing unit.

Assignment:

For an assignment to an Item to take place, a section of the file name must match a value from the fields Item number, EAN, Single EAN, EAN on packing unit.
